AI receptionist

Never miss a call again.

The AI receptionist answers the phone at any hour, with a natural voice: it gives information, takes requests, books appointments and, when needed, hands the call to a person. You get everything in writing.

Evo lets you hear how it would answer your customers.

Evo answered

  1. Evo

Good evening, I'm the artificial intelligence assistant of Studio Rossi. How can I help you?

  2. Customer

Hi, what time do you open tomorrow? I need to pick up an order.

  3. Evo

We open at 8:30 tomorrow. Shall I let the shop know you'll come by in the morning?

Message for the shop · pickup tomorrow morning

Example: just after midnight, with the office closed, a call comes in. Evo answers by introducing itself as an artificial intelligence, gives the opening time and leaves a message for the shop.

During a call

It understands what's needed, and does it.

You tell it in your own words who it is and what to do, and give it your documents and procedures. On the phone it answers like the best-prepared person in your office.

  • 01

    Gives the right information

Opening hours, address, services, prices: it answers with what it knows about your business, meaning the instructions you wrote and the documents you gave it.

  • 02

    Takes requests

It asks for name, contact details and the reason for the call, and puts them in order in the summary. Connect it to your management software and it opens the request itself.

  • 03

    Books appointments

Connected to your calendar, it suggests a free slot and books it while the customer is still on the line.

  • 04

    Follows your procedures

Routing calls, the questions to ask about a fault, the details to collect for a quote: you write them once and it follows them when needed.

  • 05

Hands the call to a person

When the customer asks for a colleague, or in the cases you choose, it transfers the call to the right number or extension. It can stay on the line while it connects you, then drops off.

    From the Growth plan

  • 06

    Speaks the caller's language

It has a main language plus any you add: if the caller speaks another one, it notices and switches.

All day long

24 hours in the life of a receptionist.

The phone doesn't only ring during office hours. Evo is there when you aren't, weekends and public holidays included.

  1. 07:45

    Before opening

Anyone calling to check your hours gets an answer right away, instead of a voicemail.

  2. 10:30

    The morning rush

Several calls at the same moment? It answers more than one person at once, without putting them on hold.

  3. 13:15

    Lunch break

The office is empty but the phone isn't: it takes the message and the best time to call back.

  4. 19:40

    After closing

It collects the evening's requests: the next morning you find them in order, with a summary of each call.

  5. 02:10

In the middle of the night

An urgent fault? It collects the details and, if you've set it up, puts the call through to the technician on call.

After the call

Every call becomes a tidy note.

As soon as the call ends you have the full transcript, a summary of a few lines and the details you need, already extracted.

Where you find it

  • In your inbox

When the call ends, the summary goes to the people you choose, with the details collected.

  • In the portal and the app

Every conversation with transcript, summary and recording. The ones still to be handled stay highlighted, and the app reminds you.

  • In your software

Your CRM or management software can receive the details of every call as soon as it ends.

  • In the statistics

How many calls, how long they last, how they ended. From the Growth plan, also what callers talk about, grouped by topic.

You decide whether to record the audio and how long to keep calls, down to keeping nothing once the call is over.

Outbound calls

And when needed, it makes the calls.

With calling campaigns the receptionist phones a list of people: to remind them of an appointment, confirm an order, or call back those who asked for information.

  • You upload the list from a spreadsheet, or paste the numbers.
  • Each spreadsheet column becomes information it uses on the phone: the name, the date, the order number.
  • Choose when to start: right away or at a set time, between 8 am and 9 pm.
  • If voicemail picks up, it notices, and it can leave a message.
  • See how each call went, and retry the ones that didn't go through.

Transparency

It always says it's an artificial intelligence.

The European law on artificial intelligence, the AI Act, requires it in Article 50. It's also a matter of respect: callers should know who they're talking to.

“Good morning, I'm Giusy, the artificial intelligence assistant of Studio Rossi. How can I help you?”

You choose the name, the company and what it says next. The introduction as an artificial intelligence stays.

  • The introduction can't be switched off

In every language it answers in, the opening sentence says the caller is speaking with an artificial intelligence.

  • It can't pretend to be a person

Instructions asking it to hide that it's an AI, or to claim to be a person, can't be saved.

  • Ask, and it confirms

An always-on rule makes it confirm it's an AI to anyone who asks, and say when the call is passed to a person.

  • An automatic check

After every call we check that it introduced itself as an AI and never claimed to be a person, and we regularly review every receptionist.

  • Recording notice

If you record calls, it announces this right after introducing itself.

How it gets going

Describe it, try it, connect it.

  1. Describe it

Who it is, how it greets people, which voice it uses, what it knows and which procedures it follows. You write it in plain words, as you'd explain it to a new colleague.

  2. Try it

You talk to it from the browser, as a customer would. You make changes on a test version: customers keep talking to the live one until you publish.

  3. Connect it

It connects to the phone system you already have, as an extra extension or through a SIP link for many calls at once. Your numbers stay yours.

How our customers use it

Four receptionists, four different jobs.

Real examples, without names: each business set it up around the way it works.

  • A hotel

Information and bookings, in other languages too

It answers guests about rooms, services and opening hours, takes booking requests and switches to the caller's language when it isn't Italian.

  • A technical service company

    Boiler and system faults

It asks what isn't working, collects the address and system details, opens the service request and, when needed, puts the call through to the technician.

  • A services company

Routing between departments and after hours

It works out whether the caller wants accounts, sales or support and puts the call through to the right department. After hours it takes a message for whoever needs to call back.

  • A telecommunications provider

    Customers' first point of contact

It welcomes callers, understands why they're calling and resolves the most common questions; the rest reaches the agents with the call summary.
