Digital employee

One more colleague, starting today.

It has its own mailbox, its own calendar, Teams and a desk with its own files. It learns how your company works, remembers people and projects, and gets the job done on its own. When it isn't sure, it asks.

From the Growth plan, €99 a month per seat

The badge of Evo, digital employee, on its first day: mailbox, calendar, Teams, desk and company procedures all ready.

What a digital employee is

It doesn't wait for questions. It knows what needs doing, does it with your tools, and tells you when it's done.

A digital employee is a colleague made of artificial intelligence: it works with its own account, within the rules you set, and keeps a record of everything.

The workstation

A real workstation, not a chat window.

It works with the same tools you do: its own email address, its own calendar, its own Teams account. It works with Microsoft 365, with Google Workspace or with an ordinary mailbox.

Evo's workstation

Email

It reads every incoming email, replies, files it in the right folder and waits for the replies you care about.

  • Invoice no. 418 · WholesalerInvoices
  • Quote request · CustomerTaken on
  • This week's offersArchived

Calendar

It books and moves appointments by checking free slots, with the meeting link already in the invitation.

  • 11:00Progress meeting
  • 15:30Site visit at the customer'sMoved

Teams

It answers colleagues in chat, takes instructions, joins meetings and answers calls.

MarthaCan you generate the sales report?

EvoHere it is, as a PDF. I added a comparison with last month.

Phone and WhatsApp

It phones on the company's behalf when you ask it to, and writes on WhatsApp if you connect the number.

Desk

Its own files: documents, PDF reports, tables. It keeps them tidy, and you see them from the portal.

  • Reports
  • Quotes
  • Minutes

Your company's tools

With connectors it works in your management software, your CRM and the other services you use. And it searches the web.

  • Management software
  • CRM
  • Web search
  • Its own tables
Evo's workstation: email sorted into folders, the calendar with a moved appointment, a request on Teams answered with the report, an outgoing call, the desk with its files and the company's tools.

Memory

A memory that branches out.

It doesn't keep scattered sentences: it builds a map. People, companies, projects and procedures become connected nodes, and every email, call or meeting adds a fact or a link.

  • It connects the dots

It knows that Laura owns one of your customers, that this customer has an open building site, and which procedure to use for their quotes.

  • It keeps in mind what matters

It gives each piece of information a weight and lets outdated ones expire, like an old price or a past deadline. Every so often it tidies up its memory and merges duplicates.

  • You see it and correct it

In the portal you find the map of what it knows: you can read it, correct a fact or add what it needs to know.

Evo's memory as a map: the company Baker Heating at the centre, connected to its owner Laura Baker, to the technician Paul Green, to the Station Road site and to the boiler maintenance contract, handled by your colleague Sarah Black; the site is connected to the replacement quotes procedure. A new fact came from the 10:20 call: the site delivery has moved to the 14th.

Procedures

It learns how you work. Then does it that way, every time.

A procedure is a rule written in plain words: when it applies and what to do. You write it in the portal or teach it in chat (“from now on, when…”). It follows it, and every change is kept in the history.

  • Procedure

What to do after a call

    When: After every call

It saves the summary and whatever came up about people and projects. It starts the tasks that are its own and records those that belong to a colleague.

Ready from day one, change it whenever you like

  • Procedure

    Meeting preparation

When: Before every meeting it's invited to

It sends the invited colleagues a page they can read in two minutes: who's attending, the agenda, the points left open last time. No point is made up: each one comes from invitations, emails and previous meetings.

Ready from day one, change it whenever you like

  • Procedure

    Priority of tasks from calls

When: When a request becomes a task

It decides what's urgent and what can wait using your company's criteria, not its own.

Ready from day one, change it whenever you like

  • Procedure

What it does and what's for a colleague

When: When someone asks for something on a call

“Send me the quote” is its job. “Mark will forward it to you” is Mark's task. If it's an outside person making the commitment, it records nothing.

Ready from day one, change it whenever you like

A new procedure, in chat

You

From now on, send quotes over €5,000 to me first.

Done, I've added it to my procedures: “Quotes over €5,000: first to the owner, then to the customer”.

On its own

It doesn't wait to be asked.

It works while you do something else: it keeps the inbox in order, moves appointments, prepares documents and follows up what's still pending. When a decision isn't its to make, it asks the right person.

  • It tidies the inbox

It moves, archives or deletes incoming emails following your instructions, and tells you what it did in the summary.

  • It books and moves appointments

It creates the event, invites the participants and, if the time changes, updates the invitation.

  • It writes the minutes

It joins the Teams and Google Meet meetings it's invited to, transcribes them and then sends the minutes as a PDF to colleagues.

  • It watches for replies

If you ask it to let you know when someone replies, it does: even if the reply comes in a new email.

  • It hands tasks to colleagues

It records what belongs to a colleague and follows up the outcome, instead of leaving it buried in an email.

  • It works to a schedule

The morning summary, the overnight report, the Monday check: scheduled actions start on their own.

  • It keeps an eye on thresholds

It checks the data at regular intervals and writes to you only when something goes over the limit you set.

  • It prepares documents

Reports, minutes and summaries as laid-out PDFs, ready to attach and send.

When it isn't sure, it asks

Teams · Message to Martha

Evo

The supplier wants to move the delivery to Thursday. Shall I confirm, or would you rather talk to them yourself?

Martha

Go ahead and confirm.

Done: I've replied to the supplier and updated the calendar.

Evo writes to Martha on Teams: the supplier wants to move the delivery to Thursday, should it confirm or would she rather talk to them? Martha tells it to confirm; Evo replies to the supplier and updates the calendar.

A day at work

From 7:30 to evening, without dropping a thread.

An ordinary day for a digital employee working at a heating and plumbing company.

  1. The morning summary

It sends you the rundown: the emails that came in, today's and tomorrow's meetings, tasks in progress and questions still open.

  2. An inbox in order

Invoices in their folder, offers archived, customer requests already taken on.

  3. The meeting prepared

Colleagues receive the preparation for the 11:00 meeting: who's coming, the agenda, the points still open.

  4. A call on Teams

A colleague calls about a quote: it answers, takes notes and opens the task.

  5. In the meeting

It listens and transcribes. Right after, it sends the minutes as a PDF, with the decisions and who has to do what.

  6. A doubt

A customer asks for an off-list discount: that's not its call. It asks the manager and waits for the answer.

  7. An appointment moved

The supplier can't make Thursday: it moves the visit to Friday and the invitees get the update.

  8. All noted down

What it learned today goes into its memory. Tomorrow it'll find it there.

  9. The overnight report

It prepares the report you asked for: in the morning it's in your inbox.

Control and security

You decide what it can do. Everything stays on record.

A digital employee works with your trust, not in place of your judgement. That's why every capability can be switched on and off, and every action leaves a trace.

  • You choose its capabilities

Email, calendar, Teams, calls, inbox tidying, meeting preparation: switch on only what you need.

  • You decide who it writes to

Rules on recipients and content: who it must not write to and what must never go out. It checks them before every message.

  • It checks before speaking for you

If you ask it to send an email, make a call or write on WhatsApp, it first shows you a summary and waits for your yes.

  • Discreet with those who shouldn't know

Before every message it checks it isn't revealing information to someone who shouldn't have it. When in doubt, it doesn't send.

  • It says it's an artificial intelligence

Every email ends with a note that it was written with AI, and when it joins a meeting it says so in the chat.

  • Everything on record

Tasks, messages and changes stay in the history, which you can check from the portal.

Frequently asked questions

What people ask us most.

How is it different from a chatbot?

A chatbot answers a question and stops. A digital employee has its own mailbox, calendar and Teams account, remembers people and projects, follows your company's procedures and gets the work done: it replies, books appointments, prepares documents and follows up what's pending.

Do I need Microsoft 365?

No. It works with Microsoft 365, with Google Workspace or with an ordinary mailbox. Teams and Teams calls require Microsoft 365.

Can it make mistakes?

Yes, like any artificial intelligence. That's why it asks when it isn't sure, shows you a summary before writing on your behalf and keeps a record of everything it does. You switch its capabilities on yourself, one by one.

Where is the data?

Digital employees and their archives live on a server in Germany, with encrypted backups every hour. To write, they use artificial intelligence models from providers whose terms exclude training on your data: the list is on the sub-processors page.

How much does it cost?

€99 a month per seat, excluding VAT, added to a business plan from Growth upwards. The employee uses the credits included in the plan.
